Terms of Service & Acceptable Use

Last updated: 14 October 2026

1. Agreement

These Terms govern your use of the EduPlatform school-management software, the EduLive marketplace for live classes, and the Teacher Kofi AI study assistant (together, the "Service"), operated by EduPlatform Software Services ("we", "us"). By creating an account or using the Service you agree to these Terms. If you use the Service on behalf of a school, you confirm you are authorised to accept these Terms for that school.

2. Who is responsible for what

When a school uses EduPlatform to manage its own students, staff and records, the school is the data controller and decides what personal data is entered and why. EduPlatform is the data processor: we process that data only as instructed by the authorised school account, to operate the Service. Schools are responsible for obtaining any required parental or guardian consent before entering a child's personal data. See our Privacy Policy and the Data Processing Agreement available to schools on request.

3. Accounts and eligibility

  • You must provide accurate information and keep your login credentials secure.
  • You are responsible for all activity under your account.
  • Staff, parent, student and driver accounts are created and scoped by the school; we do not independently verify a person's relationship to a school.
  • Teacher and student accounts on EduLive must be operated by the real person they belong to; impersonation is prohibited.

4. Acceptable use

You agree not to use the Service to:

  • break any law, or process data you have no right to process;
  • harass, bully, threaten, abuse or discriminate against anyone — this applies with particular force to conduct between students, and to teachers and students in EduLive classes;
  • share content that is unlawful, harmful, sexually explicit, violent, hateful or otherwise objectionable, especially where children can see it;
  • infringe anyone's intellectual-property or privacy rights, or upload material you are not licensed to use;
  • transmit viruses or malicious code, attempt unauthorised access, probe or disrupt the Service or its infrastructure;
  • send spam or bulk unsolicited messages through the communication tools;
  • scrape, data-mine or bulk-export data except through the export features provided to you; or
  • resell, sublicense or provide the Service to third parties as a competing product without our written permission.

Child safeguarding. EduLive classes may involve children. Teachers must conduct classes professionally and appropriately; live audio/video is exchanged peer-to-peer between participants and is not recorded or stored by us. Schools and teachers remain responsible for safe, appropriate conduct and for any safeguarding duties that apply to them.

5. Fees, plans and refunds

Some features require a paid plan. Fees are shown in the app before you upgrade. Payments are processed by our payment provider (Hubtel mobile money and card); we never store your card number or mobile-money PIN. Refunds, where available, are described in our Refund Policy. We may change plan pricing with notice; changes do not retroactively alter a period you have already paid for.

6. Your content and intellectual property

You keep ownership of the data and materials you put into the Service. You grant us a limited licence to host and process that content solely to provide the Service to you. We own the Service itself — its software, design, text and the Teacher Kofi assistant — and these Terms do not transfer that ownership to you.

7. Data protection

We process personal data in line with Ghana's Data Protection Act, 2012 (Act 843) and our Privacy Policy. You can request access to, correction of, export of, or deletion of your personal data as described there.

8. Availability, support and changes

We aim to keep the Service available and reliable but do not guarantee it will be uninterrupted or error-free. We may add, change or remove features, and may perform maintenance. We will give notice where a change materially reduces functionality you have paid for.

9. Suspension and termination

We may suspend or end access to accounts that breach these Terms — including the acceptable-use and safeguarding rules — or that put the Service, its data or other users at risk. Where practical we will tell the affected school and allow a chance to remedy the issue. You may stop using the Service at any time; a school may request export or deletion of its data.

10. Disclaimers and liability

The Service is provided "as is". To the extent permitted by law, we disclaim implied warranties and are not liable for indirect or consequential loss, or for loss arising from a school's own use of the data it enters. Nothing here limits liability that cannot lawfully be limited. Our total liability for any claim connected to the Service is limited to the fees you paid us in the twelve months before the claim.

11. Governing law

These Terms are governed by the laws of the Republic of Ghana, and the courts of Ghana have exclusive jurisdiction over any dispute.

12. Changes to these Terms

We may update these Terms from time to time. Material changes will be noted here with an updated "last updated" date, and continued use after a change means you accept the revised Terms.

13. Reporting bugs and security issues

Normal bugs and feedback: use the in-app Feedback page, or email [email protected]. Tell us what you were doing, what you expected and what happened — screenshots help. We read every submission and reply through the same channel.

Urgent security issues — for example data from another school becoming visible, a login that should not work, a lost or stolen staff device, or anything you believe exposes personal data — contact us immediately and mark it SECURITY — URGENT:

Please do not post security details publicly, and do not access or download more data than is needed to demonstrate the problem. We will acknowledge an urgent report as soon as possible and keep you informed while we investigate. If a personal-data breach is confirmed, we follow our notification duties under Ghana's Data Protection Act, 2012 (Act 843) and inform the affected school and, where required, the Data Protection Commission.

14. Contact
